Maya

Luis's CPR certificate expires in 28 days. I've told him, told his supervisor, and put the renewal on the calendar.

The process she owns

Every employee question with a policy answer should get that answer the same day.

She picks it up when somebody asks or a document falls due, and lets go when the answer is in their hands and the file is complete. Throughout, she works from your policies rather than a general handbook, and she is measured on what she escalates as much as on what she resolves. Decisions about people stay human. What changes is that your HR team spends its week on those and nothing else.

The artifact

The employee file audit, exactly as Maya filed it.

Every line carries the check that produced it, and anything held stays visible with its reason attached. Structure and logic from a live deployment; values changed.

Maya’s decision

Your policy accepts a utility bill in a relative’s name with a signed letter, so Maya says yes, sends the letter template and keeps the file open until it arrives. She does not invent an exception your policy doesn’t contain.

What Maya does.

Every capability trained on your policies, your contract templates and your training matrix — not a default template.

01

Answers employees at any hour

Benefits, holiday balances, policies and procedures — answered at 6am on a Sunday, from your handbook rather than a general one.

02

Drafts the document from your template

Contracts, offer letters and HR paperwork generated from your own templates, ready for a signature that stays human.

Offer letter · Senior Engineer · template v4 — generated 09:46, awaiting HR signature
03

Walks a new hire through week one

Onboarding personalised by role and site, so nobody spends their first Monday looking for the right form.

04

Explains the benefits nobody reads

Enrolment windows, coverage and what changes when a family situation does, in plain language.

05

Keeps the files audit-ready

Watches every employee file for what’s missing and asks the employee for it before an inspector does.

▲ 4 incomplete files — proof of address (2), ID (1), current certification (1)
06

Tracks every certification to expiry

Alerts at 90, 60 and 30 days, to the employee and their supervisor, and books the renewal.

Sound like what your HR team needs?
How she gets specialized

She doesn’t arrive knowing your operation. She is taught it, on your records, before she touches anything live.

Four stages. You see her calls next to your team’s before anything is delegated.

Weeks 1–2

Diagnostic

Someone from our forward-deployment team works your HR inbox by hand for two weeks — the real questions, in the real proportions.

Weeks 3–4

Your policies, ingested

The handbook, the contract templates, and the exceptions your HR lead grants in practice but never wrote down. Permissions scoped per system in the same pass.

Weeks 5–8

Shadow mode

A year of closed tickets, answering nothing. You compare her answers to the ones your team gave, and the gaps go back into the policy FAQ.

Month 3

Live

She answers, drafts and flags. Offers, salaries, promotions and exits stay with your HR lead.

First usable results in weeks · full operation ≈ 3 months
Reach

No new platform. She works inside what your team already opens every morning.

Employees ask on WhatsApp because that is where they already are. Nobody installs a portal to find out how much holiday they have left.

Scope, escalation and error

What she can reach, what she can’t, and what happens when she is wrong.

Every permission is set by you, per system, and visible on the trust page. Maya reads employee files and changes almost nothing in them.

When a request needs a person
01 · Hold

If your handbook doesn’t answer it, she says she doesn’t know rather than improvising a policy that doesn’t exist.

02 · Escalate to a named person

Within 60 seconds to the HR owner for that site, with the full thread and the file attached, and the employee told who is coming.

03 · When she’s wrong

She’s wrong on about 2% of answers — usually an edge case the handbook never covered. Your HR lead corrects it in the thread, the correction enters the audit log, and the gap is written into the policy FAQ.

04 · The line she doesn’t cross

Maya cannot approve leave beyond policy, change pay, hire, promote or terminate. Those stay with your HR lead.
